Planning a Party Location
Proper location and ambience are critical aspects to make a party special and memorable. Here are some tips to choosing an appropriate location for a party.
Enough Room
The first thing the host should evaluate is if the prospective location has enough area to accommodate people invited as per the guest list.
While the entire space might appear to be much more than necessary, with all the chairs, tables, DJ or band setup, dance floor etc. the space will easily get occupied in no time.
If the host plans to have the party in their own home or a relative's lake cottage, the number of guests invited will have to be customised to fit into the given space.
There should be sufficient space within the room or hall so that people can drink, eat, chat, dance and if the existing space looks too small for that, another area will need to be designated for this purpose.
If the room is shaped in some odd way like an 's' shape or some other odd shape, it can hamper the free space available for people to enjoy themselves. The columns and other obstructions in the space could hamper the view of the guests.
Private Parties
If the host is comfortable with a daytime party in some public space like a garden or park, it is natural that other people will be walking by.
However, for more intimate parties and where privacy is necessary, a venue where they have special signage closed for the public is a good idea. Security needs to be tight else gatecrashers can easily come by for a slice of the party.
If there are other parties happening in sync with the host's party (which is normal for most hotels and banquet halls), the party should be scheduled for some other time when no one else will be partying.
Proper Lighting
Lighting is one critical aspect, which can literally make or break a party ambience. Depending on the timing of the party, the host should check out the available lighting at the venue at the same time to get a real feel of what the lighting looks like.
For afternoon or brunch parties, the sunlight filtering in through windows should also be considered because too much light can spoil things in the party.
Depending on the particular theme of the party planned, the colours in the venue should coordinate. However, that does not mean that the colours have to be exact. Accents like chairs, carpets, walls, curtains etc. should be in tune with the overall theme of the party.
Technical
While this will be a boring task to do, the host needs to check if there are many spaces where plugs can be fit in. This will help the entertainment crew to setup their instruments and other electronic gadgets in the space.
For example, if the DJ will have space to play in an odd spot, the host needs to ensure that there are many extension cords.
